Information we process

When you contact us, we process your name, email address, message and phone number if supplied. Name, email and message are required to submit the form. You can also contact us directly by phone or email. Please leave sensitive personal information out of the form.

Technical session and log information may include IP address, browser information, time and requested URLs. For owner and administrator accounts, we also process names, email addresses, protected login information and editing history.

Purposes and legal bases

We use your information to answer your enquiry and, where relevant, prepare or carry out an agreement. Where you request a quotation or agreement for yourself, the legal basis is GDPR Article 6(1)(b). Other correspondence, security, abuse prevention and operation rely on our legitimate interests under Article 6(1)(f).

The contact form does not subscribe you to newsletters. Information is not used for profiling or automated decisions with legal effects. Technical spam limits may reject a submission; you can still contact us directly.

Hosting and email providers

The website runs on a Synology server administered on behalf of Tess. Trusted people responsible for operation and support may have access where necessary. The contact form sends your message through SMTP2GO to Tess’s contact mailbox. The mailbox provider also processes the email.

Email providers’ processing, subprocessors and any access from outside the EU/EEA depend on the services and agreements in use. Contact Tess for further information about providers and the applicable transfer arrangements.

Retention and deletion

We keep enquiries for as long as necessary to answer and follow up on the matter. This depends on whether the enquiry is closed, becomes a job, or is needed to document an agreement or handle a claim. Legal obligations may also require information to be retained.

The website has no separate enquiry inbox. After an error, form text may temporarily be saved in your session so you can retry. Session data, security information, technical logs, email copies and backups follow the relevant systems’ deletion and rotation routines. Session expiry does not necessarily mean every copy is immediately physically deleted.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction and a copy in a commonly used format (data portability). You can object to processing based on legitimate interests. Contact Tess at the email address above. You can also complain to the Danish Data Protection Agency (Datatilsynet).
